Do libraries use Cash Reports in Local Administration?

  • Mixed response of yes/no.  CHA uses Cash reports but also uses a more detailed Report from Reports for analyses.  Those who use it use it daily.

Does Your Library Use a Cash Register?

  • Mixed response. Some Libs used to but no longer do.  Some still do and used to do a daily tally but now tally weekly.  Usage has gone down due to many Libs going Fine Free, and thus Registers are only used for donations, sale carts, Lost fines.

Closed Dates Editor 

  • Update for 2022 closings if you have not already done so.
  •  A.M. demonstrated the Closed Dates Editor which changes due dates for holiday and emergency closings, but does not change overall hours of operation.
  • To change Hours of Operation, open a help desk ticket.

Duplicate Items in Bucket Bug

  • There’s a bug in buckets where if you scan items into the bucket twice, they will show up in the bucket twice, which looks confusing. They are actually only counted once. The bug is being fixed in an upcoming version of Evergreen.

Pre-cats

  • Some Libs use on purpose but if yours does not, try to avoid Pre-Cats!
    • Prevent whenever possible by selecting cancel and then re-scanning item
    • If you create a Pre-Cat by accident, delete the item and then create a new ‘real’ item by re-cataloging.
      • If not owning Lib, send back to owning Lib with note explaining it’s a Pre-Cat
      • If WLS owned, open a help desk ticket
  • Reduce Pre-Cats – they are bad for the system

  • Updated 1/28/2022 – Log in at westls.samanage.com
  • Use the “Sign On with Google” button
  • Login with your WLS or library email and password
  • Use Solar Winds to search for answers, see your questions’ threads and attachments

General Evergreen Upgrade Schedule

  • Evergreen has a general upgrade annually, comes out in the Fall.
  • In 1st Q, WLS tests upgrade.
  • In 2ndQ (May) test server is open to Libs with previews of upgrade and training opportunities.
    The system will be upgraded in May or June, depending on scheduling.
  • 3rdQ follow up and tweaks.
  • Upgrades usually include features and fixes, continually improving.

Circulation Stats: (Copied from it wiki)

  • Monthly Circulation – Counts circulation transactions – checkouts and renewals – per checkout/renewal library, with totals itemized by item “Monthly Report” statistical category value.
  • Monthly Intraloans Supplied – Counts hold transits/items per owning (supplying) library, where the destination (receiving) library is not the same as the item owning library. Counts include all hold transits, regardless of sending library, and whether the hold item was checked out or not.
  • Monthly Intraloans Received – Counts the hold transits/items per destination (receiving) library, where the destination library is not the same as the item owning library. Counts include all hold transits, regardless of sending library, and whether the hold item was checked out or not.

You can also run Reports to get more specific information regarding your owned items total circulation by stat cat.

General Discussion

  • Can LOST notices go out via email and can the Library know if the email has been sent?  Lindsay – it is a work in progress.
  • Some Libraries really love the WLS app and encourage patrons to download it to their phone so they always have their Library card “on them” assuming they always have their phone with them.
  • Library card renewals: most Libraries do over the phone, do not require patron to come in, ask about any changes to address, phone #s etc.
