Circulation Meeting Minutes

September 13, 2012
Melanie’s Report:

2 new item types

JXPRESAV14 – 14 day AV express for J-materials

VIEW-J: These are for children’s Playaway View items (w/video loaded) and circulate for 1 week.

NOTE:If any library not already using these wants to, they will have to email the helpdesk@wlsmail.org with their daily and maximum fine rates to get on the circ map.
New Home location:

J-View for the Playaway views
Reports:

When logging into reports, click on the column Report Name to sort and find your clean holds report; print all then delete.

There may be multiple clean holdshelf reports for one day.

There is a glitch in the dynamic holds which will, hopefully, be fixed with the new Sirsi upgrade scheduled for release next year.
Within a month, there will be 2 new features:

A new automated phone system with text messaging to notify patrons. They will need to sign up for the texting feature.

Wednesday October 10, IT will install a new Java client for Workflows and will have a few new features. Instructions for the install will be given.

With the above install, patrons will be able to renew titles with title level hold if there are other copies available on shelf.

Also, there will be a tab to display holds, within the tech module, in Call Number & Item Maintenance. You will be able to tell how many holds when linking items in Tech.
There have been more complaints about holds lingering:

Some libraries have not marked items in missing when cannot find for a hold, not calling patrons when last item cannot be found.

Melanie has asked if we wanted to change items to Missing after being in transit one week. It was brought up that 7 days may be too short of a

time. We may email Melanie with any of our suggestions to resolve the holds languishing in transit.
TV Series DVDs:

Patrons are very happy with the 2 week circulation period for multi-disc (3 or more discs) change. Apparently, some libraries

were under the assumption this was a suggestion and not an agreed on policy change therefore do not modify other library materials’ duedates

until further notice. **Clarification from PLDA 9/2012.
Delivery:

Various issues were discussed. If there are any delivery problems it is suggested you email delivery@wlsmail.org.
Angela’s Report:

Angela has had several people come in the library who have received the same item on hold. Looking into the issue, she discovered the person

placed hold at home, did not log out of the account, another family member went to the catalog and seen a card logged in and placed the hold.

Patron picking up another’s hold: Remember to CANCEL THE HOLD.

Bedbugs: 2 libraries have recently had an infestation of bed bugs. They like to live on fabric covered furniture, clothing, bedding, luggage,

books, etc. and like the dark.
Member Libraries:

LAR: Someone has been coming into the library swapping multi-disc cases w/single cases w/discs inside it and taking off barcodes.

LAR: Inquired about libraries w/registers. Some have codes for full-time staff and one for part-timers, some have for all, some have just petty cash.

On the weekend, do not call/email the Help Desk with problems involving fines – you can call member libraries for problems of that nature for

an immediate answer.

POR: Asked about patron library cards-in most libraries you need a photo ID or something with a name and address.

ARM: They are under construction until November (tentatively); the circulation desk is being redone, elevator, sliding doors and some exterior work.
Next Circulation Committee meeting: November 8 WLS 2nd floor 9:30 AM.
