Circulation Meeting at WLS – Thursday – January 13, 2011

Melanie’s Report

1. Reset of item count. It will now be “0” but continuing total for item will reflect the last year charges

2. REGISTRATION – When registering new patrons – P L E A S E fill in the required fields. First name – Mary Last name – Smith Middle Initial – A

NOT REPEAT NOT Smith, Mary A in the last name field

3. You can put a hold on items that are in the catalog as an On order item. But patron’s holds will not show up until item is actually owned by a library so if the patron is #1 (or so they think they are) it depends on if their library buys item they will be #1 but if their library does not buy item they could be #300.

4. Changing Pick Up Location – If a patron puts an item on reserve and mistakenly asks for it at ARD and they mean CRO – Once the item is on the shelf at ARD they must call ARD and ask them to remove the item from their holds shelf. CRO must make pick-up to CRO so that when the item is scanned it will then go directly to their patron at CRO.

5. WHI – They are doing double check –in at WHI till all of their items that went out under their old system are returned.

6. If you have a patron who is trying to check out and they have not yet reached the 50 maximum items and the screen says “No Checkouts allowed”, renew the patron’s card and this will 9 times out of 10 clear that message.

7. New Registration – You must manually add pin #. This is a security feature for the patrons. They can reset the number as many times as they want. All cards issued before September 21, 2010 had the pin numbers automatically added to record.

422-1491. If a duplicate record for a WHI patron is found, e-mail Mary Black at mblack@wppl.lib.ny.us and CC Pat Thorsen at pthorsen@wppl.lib.ny.us

in case Mary is off. Initially, WHI had over 1,000 items on each of their hold lists. They have over 239,000 items that have been added to the county’s collection. Now their holds lists are down to 500+

Please respect all comments and blocks placed by other libraries. EVERY LIBRARY SHOULD PUT DATE – LIBRARY CODE (e.g.GRE) AND STAFF INITIALS

10. POR /Rye Book – Starting to close sections for renovations/elevator

12. If you are still having problems with patron’s who say they are not getting notified in time for their holds a) recommend they use Library Elf

b) Email the helpdesk@wlsmail.org with Patron’s name, barcode #, item they were supposed to pick up and if they were to be notified by e-mail or phone.

15) Max Fine of $25.00 – There has been no initial problems with lowering fee.

16) Temp Cards – When registering as owning library patron still some problem with Previous Patron ID’s. Contact Melanie and she will give you directions on how to remove the inactive ID. She’s doing further investigation as to the cause.

17) Yonkers Cards to Bronx Residents – As long as the card is not blocked you cannot prevent patron from using library.

Late breaking news:

WHI has removed the 75cent fee for placing a hold but will still change for holds NOT picked up.

Next Meeting is March 10, 2011 9:30AM @ WLS – Maybe we could have a representative from each library for this meeting.
