CIRCULATION COMMITTEE MINUTES
MAY 14, 2024
I. INTRODUCTIONS OF NEW PEOPLE: No new committee members this month.
II. EVERGREEN UPGRADE 3.12
- Upgrade will take place, if all goes according to plan, overnight on May 22 (Wednesday), and will be installed in computers as of 5/23 morning
- Sign up, if you haven’t already, for the preview offered by WLS, one recorded on May 9 and available on the IT Wiki, and the other available on Friday, May 17, from 10 – 11, which will also be recorded.
- There will not be major changes this year, as compared to the major changes of last year’s upgrade.
- Many of the changes in 3.12 involve the Acquisitions module. Lindsay Stratton is working with the libraries that use the Acquisitions module.
- Across the staff interface, many changes are small and increase accessibility, including
- many keyboard shortcuts. For example, from the Evergreen Home page, the Search Catalog box will be highlighted at first; you can tab to get to the next option, which will also be highlighted. Shift-Tab will take you to a previous option, and Tab will take you forward.
- Tabs also work in drop down menus, as do arrow keys. Use the escape key to get out of the menu parts.
- There will be access for people who use screen readers, telling people what the icons are.
- In the Circulations module, the Register Patrons page will be banded like Excel tables to make it easier to follow.
- In the staff catalog,
- The Staff View tab gives information about a title, some from the MARC record, information about holds, etc.
- The Patron View button opens the OPAC in a new tab.
- The View Holds tab grid has more options, including a patron home library column. It may be handy for filling holds for your patrons from your shelves.
- In the Pull Holds List, there will be added filtering for pickup library and shelving location.
- With the Shelving Location filter, you can add multiple locations so that a person can view and print only the locations they’re interested in (e.g., all Juvenile locations).
- Filters can be removed one at a time or in bulk.
- The filters are sticky, so once you have set up the filters, every time you use this workstation, they will be there.
- All the grids will allow you to select certain rows and only print those rows.

III. SHELVING LOCATION CLEANUP
- WLS is working to help libraries clean up shelving locations they don’t actually use.
- Create a report to do a count for all shelving locations in your library. The template is called “Count items by Shelving Location” and you can find it by searching under “name” and using “count shelving”. This report will give you a list of all the shelving locations you use and how many items you have in each location. If you need help setting up this report, put a request in at the help desk. In any filter, you can use Control A to select all entries, in this case, shelving locations.
- Sort the report by number of items per location. You can search in the catalog or run a report to find the actual items in the locations, and then you can move the items to other shelving locations to make them easier to find.
IV. SUMMER
Update your closed dates editor if your library’s schedule changes in the summer. If you’re closed on Sundays in the summer, do a help request and WLS will set up the change, and then do another help request when you’re reopening in the fall. You also need to do updates in Aspen via your library’s administrator. If you don’t know who your administrator is, contact Allison Pryor.

VI. QUESTIONS, COMMENTS, CHANGES
- Question about holds: patrons whose cards are expired can still put materials on hold? Yes, deliberately; the idea is that the patron will come in to get their hold and will then be able to update their cards.
- Changes: Peekskill has an interim director; New Rochelle also has an interim director, but has no assistant director at the present. Irvington is looking for two part time clerks for mostly evenings and occasional Saturdays; pass the word around.
- Problems: Patrons are not getting courtesy messages (holds expiring, books due, etc.) via text; this is because those kinds of messages are only sent via email. If you’re having a problem with patrons getting notifications, put in a help desk request.
