Circulation Committee Meeting Minutes – April 2013
Circulation Committee Meeting
April 11, 2013
New Home Locations: 2 new Home Locations DISPLAYHO: This location will show up if there is a HOLD on a book a library has set to DISPLAY to make it easier to find the item. SCIFI_PBK: For libraries that have science fiction paperback sections.
New itype: Bluray-ser for 3+ blu-ray discs and same circ rules as DVD Series
Copy User Wizard: When using this feature, Charge History Rule will not default to NO HISTORY. Remember to change back to NO HISTORY unless patron says otherwise. PLDA will be discussing this issue more at their next meeting. Sirsi is aware of this issue and a future fix will be forthcoming.
Lost Card & OverDrive: When replacing patron cards it is necessary to ask the patron if they use OverDrive. When a card is replaced and the patron has a hold it will not be retrievable with the new card number. If removing the card completely from the system, make a note of it along with the new number and patron name and email to helpdesk@wlsmail.org and they will forward the information to OverDrive. eResource Central: Maintaining cards in Workflows is important with the addition of eResource Central.
From sirsidynix.com: For library users, eResource Central provides one-click access to library resources, including e-books and e-journals, via a single user interface. This simplifies requests, downloads and matching of compatible e-books and e-reader formats. For libraries and library staff, eResource Central enables cost savings and simplifies the process of delivering content of disparate sources and formats to users by managing licensing and access rights; maintaining MARC records and metadata for library e-resources; integrating e-resource usage into circulation reporting; and managing electronic content acquisition and creation. To further support SirsiDynix library customers, eResource Central also provides end-user tools to simplify the e-resource access and download process.
Replacement Policies: those libraries present were updated, if needed, and new list will be posted on the wiki (http://forum.westchesterlibraries.org/wiki/index.php/PLDA_Circulation_Committee); when in doubt, call the owning library.
Issues with Member Libraries: When having issues with library staff at other libraries, it should be handled by your library Director or Assistant Director.
Issuing Temp Cards: Some libraries use unique User IDs (ex, TEMP41113) or put TEMP next to last name. Either is fine, but remember when changing from Temporary to remove the previous ID on the Extended Tab and with the ID Manager. Also, when making a Temp card, get the patron’s date of birth. Set Profile Name to Temp- this gives an automatic expiration date of one month from issue.
Automated phone service (i-tiva): Alissa Replaced Jennifer April 1st, speaks Spanish, and texts-English only. There were reports of trouble getting the Spanish language to work. Spanish as a language must be seelcted on the Demographics Tab of the patron record to receive messages in Spanish. To set to text messaging, make sure patron’s cell phone number is in the phone field – without parenthesis around area code. Put an uppercase T in front of the number (i.e.Txxx-xxx-xxxx). Make sure PHONE is in the notify_via field on the Extended Info tab.
Delivery: All Island Courier seems to be working out well among the libraries present at the meeting.
Active Directory: Jesse from the WLS IT department discussed libraries being switched to Active Directory- 10 libraries are using it as of now. It will not change Workflows log in – you will need a username and password to login to the PC; password will change every 90 days. Wilson will contact library Directors as to when someone will come to set it up.
General discussion:
Montrose: Asked if we can take other libraries fines. Yes, the only time you forward to issuing/owning library is when paying for a lost item or referral (collection fee).
Chappaqua: Issuing their own lost notices. After they issue the second one, they will be putting a $2.00 processing fee on the library card. We may do with it what we like.
Bronxville: Asked about the website to buy thermal paper BPA-free-thermalpaper.com
