The system crashed on February 10th because reports are not expunged.  Please expunge reports on a daily basis.   Staff discussed issues concerning the White Plains Library: 1.  Their new books are catalogued as express books and so they cannot be circulated to fill holds which is unfair to the other 37 libraries who have to fill holds for patrons.   2.  Full seasons of TV shows; ie, The Wire, In Treatment are not being sent in one whole set.  This is getting better than it has been however.   3.  Mary Black(422-1491) is their head of circulation.  Sandy Miranda is Director.     Patron Information is still being entered in the wrong fields:

  • Watch screen
  • Enter First name first
  • Preferred name (if using this option)
  • Middle name
  • Last name

Libraries are sending holds with items missing.  Make sure that it is in the record if an item has for example 11 DVDs instead of 12 DVDs so that when it is scanned, the clerk will know right away what to expect.  If an item is not complete–change status to missing or even discard and send it back to owning library WITH A NOTE explaining what you did.  Place hold on another copy for patron. Put item in an envelope so that it will not be missed  at the owning library.   Also, if an item is on the holds list and it is the last copy, send it to missing and notify patron  that hold cannot be filled.   If an item from another library is returned to you from a patron with a piece missing, before checking it in, contact patron and give it one renewal if necessary. If it is not returned, then send it back to owning library still on patron’s record WITH AN EXPLANATORY NOTE.

LOST BOOKS,DVDS, ETC. For payment to another library: 1.  Do not send cash through bins 2.  Check should be made out to owning library (make sure it is the right one) 3.  Clear the patron’s record of all charges–you keep fine money 4.  Print out record of pertinent information and send with check in an envelope to owning library   PUT MAGAZINES IN ENVELOPES WHEN SENDING THEM BACK TO OWNING LIBRARY!!!   PUT RUBBER BANDS CROSSWISE ON ITEMS THAT NEED THEM.  DO NOT TWIST ONE RUBBER BAND AROUND AN ITEM AS IT COULD SNAP  AND BE DANGEROUS.   Show and tell: For EVERY new PC installed at your library, please change the default library to your own library. Otherwise, new patrons will be registered with a home library of ARD. Stats will not generate correctly by patron and holds can have a pickup location of WLS. Both problems we want to avoid.

Logon as supervisor Right click on Register Patron wizard Click on Properties Click on Default Tab At the library option: either select home library from the dropdown menu or type in library three letter code Click OK Logoff Click OK when prompted to save properties
To reuse the Temp patron barcodes, the ID Manager has to be activated. Then the “inactive” barcodes can be deleted with Modify Patron wizard.

Logon as supervisor Right click on Modify Patron wizard Click on Properties Click on Helpers Tab Check box beside User ID Manager Click OK Logoff Click OK when prompted to save properties

Finally, whenever there are inactive IDs that need to be deleted, just by clicking on Modify Patron wizard and clicking on the new “helper” at the top of the screen allows editing of the IDs. Highlight the ID to be removed, click on the Right arrow to move the ID to Discard ID panel. Lastly, click OK at the bottom of the open screen.
